Guidelines for Webinar Presenters
Submission Requirements​
- Presenters are required to submit their presentation title, abstract, bio, and photo no less than 30 days before the scheduled event.
Technical Setup​
- Utilize the Zoom platform on a compatible Windows or Mac computer for hosting purposes. This ensures access to collaborative features such as Q&A sessions and polls.
Slide Submission
- Final presentation slides must be submitted 24 hours prior to the dry run. Ensure inclusion of opening and closing slides, and if multiple presenters are involved, transition slides listing each presenter’s name and affiliation. A prudent limitation of 15 slides is recommended.
Presentation Guidelines
- Allocate 30 minutes for the oral presentation, with an additional 15 minutes designated for questions and answers
Slide Deck Distribution
- The finalized slide deck should be forwarded to the conference manager the day preceding the webinar. Attendees will have the opportunity to download the slides before and after the event.
Pre-Webinar Preparation
- Verify system requirements to guarantee seamless connectivity and functionality.
- Opt for a headset or telephone connection to optimize audio quality, minimizing the potential for echo or static.
- Consider utilizing a video camera for enhanced visual engagement.
- If multiple presenters are sharing a physical space, ensure collaboration on a single computer to prevent audio interference.
- Employ a hard-wired, high-speed internet connection for stability, mitigating the risk of connectivity disruptions.
Live Day Checklist
- Access the webinar via the provided link 15 minutes prior to the scheduled start time for testing and adjustments.
- Ensure that your microphone remains unmuted throughout the broadcast to facilitate interaction with the audience.
- Refrain from typing during the broadcast to avoid unnecessary distractions.
- Silence phones and close unused applications to maintain focus and minimize interruptions.
- Conduct an audio test to confirm clarity and audibility.
- Have the opening slide prepared three minutes prior to commencement.
Webinar Flow
- Await initiation from the staff, who will introduce the session.
- Maintain the closing slide throughout the Q&A segment.
- Conclude the webinar with expressions of gratitude to participants, organizers, and sponsors.
